This policy covers every user of LeadVix, whether you are company admin, or a team member, or anyone else accessing the platform under an organisation account.
1. Information We Collect
1.1 Information You Give Us Directly
When you register or use LeadVix, we collect:
- Your name, business email address, and password
- Your company name, website, phone number, and location (country, state, city)
- Your company category and industry
- Billing and payment information processed through our payment providers
- Lead data you import into the platform including names, email addresses, company details, and any other fields in your import file
- Email templates, campaign content, and Knowledge Base documents you upload
- Any communications or notes you add inside the platform
1.2 Information We Collect Automatically
- IP address, browser type, device type, and operating system
- Pages and features accessed, time spent, and actions taken inside the platform
- Email event data returned by SendGrid including delivery status, opens, clicks, bounces, and spam reports
1.3 Information From Third Party Integrations
When you connect third-party tools to LeadVix, such as SendGrid for email sending or your Gmail account for IMAP, those services may share certain data with us to enable the integration. This data is used only to power the features you’ve connected and nothing else.
2. How We Use Your Information
We use the information we collect to:
- Create and manage your LeadVix account.
- Power the CRM, pipeline, email automation, and AI features of the platform
- Send outbound emails on your behalf through your connected SendGrid account
- Pull in and display replies from leads through your connected IMAP configuration
- Generate AI-drafted email responses based on your Knowledge Base and conversation context
- Process payments and manage your subscription
- Send you account-related notifications: password resets, billing updates, and product announcements
- Improve the platform based on how it’s being used
- Respond to support requests and resolve issues
- Comply with legal obligations where required
3. AI Email Automation
With AI capabilities, LeadVix allows you to create, send and manage your emails for your leads. So this is how it works:
- The AI reads incoming replies and classifies them by intent
- It suggests responses based on your Knowledge Base and the context of the conversation
- If you don’t review and approve an email, it doesn’t go out automatically, except when you have turned on Auto Send in your settings.
- The AI is a resource to improve your communication and is not your business’s decision maker.
⚠️ Disclaimer: LeadVix’s AI email automation is designed to improve the efficiency of your outreach. However, LeadVix does not guarantee any specific business outcome, including lead conversion, deal closure, revenue growth, or response rates. Results depend on factors entirely outside our control, including the quality of your lead data, your industry, your messaging, and market conditions.
4. SendGrid & Third Party Services
LeadVix uses SendGrid to deliver all outbound emails from the platform. SendGrid is an independent third party service operated by Twilio Inc. and is not owned, controlled, or affiliated with LeadVix in any way.
⚠️ Disclaimer: LeadVix doesn’t take any responsibility for SendGrid’s pricing, changes in plans, service interruptions, or updates to policy. Everything that comes up as a cost tied to your SendGrid account is fully separate from your LeadVix subscription, and it’s ruled by SendGrid’s own terms along with their pricing. LeadVix also suggests you review SendGrid’s privacy policy and terms of service on your own, separately.
Similarly, LeadVix may integrate with or recommend other third party tools including but not limited to Stripe, PayPal, Google Pay, Apple Pay, Zoom, Google Meet, and Microsoft Teams. LeadVix is not responsible for the data practices, pricing, or terms of any third party service.
5. Lead Data & Your Responsibilities
When you import lead data into LeadVix, you are responsible for ensuring that:
- You have the legal right to contact the people on your list.
- Your outreach complies with applicable laws including CAN-SPAM, GDPR, CASL, and any other regulations relevant to your region and industry.
- The data you import is accurate and obtained through legitimate means.
LeadVix provides the tools for outreach; the responsibility for how those tools are used lies with you as the account holder.
6. Data Sharing & Disclosure
We do not sell your personal information. We may share data only in the following circumstances:
- With third-party service providers who help us operate the platform, such as payment processors, cloud hosting providers, and analytics tools, under strict confidentiality agreements
- With SendGrid to deliver outbound emails on your behalf
- With your connected IMAP provider (e.g. Google) to receive and read replies
- With law enforcement or regulatory bodies when required by law, court order, or legal process
- In connection with a business transfer such as a merger or acquisition, users will be notified of any such change
7. Data Retention
We store your information for as long as you have an account with us or until we require it to deliver our services. We will delete or anonymise your personal data unless we are legally obliged to keep it for a longer time frame after you have closed your account.
Lead, campaign information and email logs may be kept for 7 years for legal and compliance reasons.
8. Your Rights
Depending on your location you can have the right to:
- Access the personal data we hold about you
- Correct any inaccurate or incomplete information
- Delete your account and associated data, subject to legal retention requirements
- Opt out of marketing communications at any time
- Data portability – request a copy of your data in a usable format

9. Data Security
We use industry-standard security measures to help protect your data, include encrypted storage for sensitive credentials such as API keys, secure payment processing, and access controls across the platform. That being said, there’s no such thing as complete security and we cannot guarantee that your assets will be fully protected.
10. Children’s Privacy
LeadVix is a business platform meant for adults 18 and above. We don’t knowingly gather data from anyone under 18. If we ever learn that a minor has registered on the platform, we will delete their account promptly
11. Changes to This Policy
We might update this Privacy Policy from time to time, as the platform evolves, or when legal requirements shift. When we do that, we’ll adjust the date at the top of this page. We also suggest you check back periodically. If you keep using the platform after the changes are posted then you accept the updated policy
