Updating your company info, email integrations, and system preferences
What Is This Guide For?
This guide covers everything inside the Settings section where you manage your company information, email sending and receiving configurations, and other system preferences.
Go to Settings in the left sidebar. You’ll see two sections:
- General Settings
- Email Integrations
General Settings
Click Settings → General Settings.
Here’s every field on this page and what it does:

| Company Name (required) | Your company name — appears in emails and platform |
| Company Phone | Your company contact number |
| Company Email (required) | Your business email address |
| Company Website | Your website URL |
| Company Address | Your physical address |
| Sender Name (required) | Name that appears in recipient’s inbox when they receive your email |
| Sender Job Title | Your job title — may appear in email signatures |
| Auto Send | Controls whether AI sends replies automatically or waits for approval |
| Semi Negative Followup Delay Hours | How many hours to wait before following up with semi-negative leads — default is 72 hours |
| Voice Enabled | Enables voice features — true or false |
| Voice Auto Apply | Whether voice features apply automatically — true or false |
| Company Category | Your industry category — e.g. it_services |
| Knowledge Base Document | Upload your company Knowledge Base — supported formats: PDF, DOC, DOCX, TXT, RTF |
💡New fields not covered in Guide 4:
Semi Negative Followup Delay Hours — set how long LeadVix waits before sending a follow-up to leads classified as Semi Negative. Default is 72 hours — adjust based on your outreach cadence
Voice Enabled / Voice Auto Apply — these control voice-related features in the platform. Keep Voice Enabled as true to use them
At the bottom there’s a “How to Create Your Knowledge Base” expandable section with a sample template download link.
Click Save Settings when done.
Email Integrations
Click Settings → Email Integrations. This page has two tabs at the top:
- SendGrid — for outbound email sending
- IMAP — for inbound reply receiving
SendGrid Tab
The SendGrid Configuration form shows:

| API Key | Your SendGrid API key — stored encrypted |
| From Email (required) | The email address emails are sent from |
| From Name | Display name shown in recipient’s inbox |
| Reply-To Email | Where replies are routed if different from From Email |
| Active checkbox | Must be checked to enable sending |
| Save SendGrid Config button | Saves your configuration |
Below the config form is the Test Configuration section:
- Enter a Recipient Email address
- Click Send Test Email to confirm your SendGrid setup is working correctly
💡Tip: If you ever update your API Key or From Email, always run a test email after saving to confirm everything is still working.
IMAP Tab
Click the IMAP tab to switch to IMAP configuration.
The IMAP Configuration form shows:

| Host (required) | Pre-filled as imap.gmail.com — do not change |
| Email (required) | Your Gmail address |
| Password | Your Google App Password — not your regular Gmail password |
| Port | Pre-filled as 993 — do not change |
| Poll Interval (seconds) | How often LeadVix checks for new replies — default 60 |
| Save IMAP Config button | Saves your configuration |
⚠️ Reminder: Never enter your regular Gmail password here. Only use a Google App Password generated from your Google Account Security settings. See Guide 3 for full instructions.
When to Update Your Settings
Come back to Settings whenever:
- Your company details change — name, email, address
- You need to update your Sender Name or Job Title
- Your API Key expires or needs replacing
- Your Gmail App Password gets revoked and needs regenerating
- You want to adjust your Auto Send preference
- You need to upload an updated Knowledge Base
- You want to change your Semi Negative follow-up timing
Frequently Asked Questions (FAQs)
Can I change my Sender Name after campaigns have already run?
Yes. Changes take effect on the next email sent; they don’t affect emails already sent.
What does Semi Negative Followup Delay Hours mean?
It controls how long LeadVix waits before automatically sending a follow-up to leads classified as Semi Negative. The default is 72 hours, meaning 3 days after the initial email before a follow-up goes out.
What formats does the Knowledge Base accept?
PDF, DOC, DOCX, TXT, and RTF. Download the sample template from the expandable “How to Create Your Knowledge Base” section for the recommended format.
How do I update my SendGrid API key?
Go to Settings → Email Integrations → SendGrid, paste your new API key in the API Key field, and click Save SendGrid Config. Run a test email to confirm it’s working.
What happens if I change my Gmail password?
Your IMAP App Password is separate from your Gmail login password; changing your Gmail password won’t affect IMAP. However, if Google revokes your App Passwords, you’ll need to generate a new one and update it in the IMAP tab.
Can I use a different email provider instead of Gmail for IMAP?
The IMAP tab shows Gmail settings by default. The platform note says steps are similar for Outlook and other providers. Contact support@leadvix.com for guidance on non-Gmail setups.
